Design of an Automated Student Clearance System for IMT Enugu

The student clearance process at Nigerian polytechnics typically requires physical visits to multiple departments including the library, bursary, hostel, and academic registry, often spanning several days and creating bottlenecks that delay certificate collection and graduation confirmation. At IMT Enugu, this process has been identified as a source of significant frustration among graduating students, particularly those who must travel long distances to complete departmental sign-offs. This study designed an automated student clearance system for IMT Enugu, enabling graduating students to initiate and track clearance requests digitally across all relevant departments from a single web interface. The system was built using a PHP/MySQL architecture with a modular departmental clearance workflow, in which each unit accessed its own dashboard to review and approve or flag student clearance submissions. A notification system informed students of approval status at each stage, and a final clearance certificate was generated automatically upon full departmental sign-off. Functional testing conducted using simulated student profiles confirmed that the system accurately tracked multi-departmental approval chains and prevented premature certificate generation where outstanding obligations existed. Administrative staff who reviewed the prototype reported that the system would substantially reduce in-person queuing and inter-departmental paperwork. The study concluded that automated clearance management would modernise the graduation process at IMT Enugu and reduce the administrative burden on both staff and outgoing students. Phased deployment aligned with the academic calendar is recommended.
