Implementation of an Automated Timetable Generation System for a Federal University in Benue State

Manual timetable scheduling at federal universities in Benue State is a labour-intensive process that frequently produces conflicting schedules, inefficient room allocation, and last-minute revisions. This study presents the implementation of an automated timetable generation system for a federal university in Makurdi, Benue State. The system was developed using Java and MySQL, implementing a constraint satisfaction algorithm (backtracking with forward checking) to schedule courses while satisfying constraints including room capacity, lecturer availability, course prerequisite dependencies, and student group separation. Requirements were gathered from the academic registry and ten departmental course coordinators. Constraint parameters were derived from the university's academic handbook. A dataset comprising 80 courses, 25 rooms, and 35 lecturers across five departments was used for implementation testing. Solution generation time averaged 3.4 seconds for the full dataset. Manual verification of 200 random time-slot assignments confirmed zero hard constraint violations (no clash or capacity overflow). A two-semester pilot in the Department of Computer Science showed elimination of the timetable clash reports that previously averaged 8 per semester. Academic registry staff reported time savings estimated at 80 percent compared to the manual scheduling process. The study recommends university-wide deployment and integration with the existing student records system for dynamic constraint updating.
