Implementing a Computerised Maintenance Management System for Medical Equipment in a Tertiary Hospital in Ogun State: A Professional Case Study

Computerized maintenance management systems represent the current best practice standard for medical equipment maintenance management, and their implementation at Nigerian tertiary hospitals offers significant improvements in maintenance planning, equipment availability, and resource allocation. This study documents and evaluates the professional implementation of a computerized maintenance management system at Olabisi Onabanjo University Teaching Hospital, Ogun State. The implementation involved a phased approach: equipment census and tagging of all seven hundred and forty-two medical devices across clinical departments, database population with equipment specifications and service histories, workflow configuration for work order generation, preventive maintenance scheduling, spare parts inventory tracking, and report generation. The open-source CMMS platform UpKeep was selected based on cost, feature coverage, and internet accessibility requirements. Staff training was conducted for twelve biomedical technologists and six administrative staff over a two-week period. System performance was evaluated over a six-month post-implementation period by tracking key performance indicators including preventive maintenance compliance rate, mean time to repair for corrective maintenance work orders, equipment downtime rate, and maintenance cost per bed. Results show preventive maintenance compliance improved from 23 percent to 71 percent over the six-month period. Mean time to repair decreased from an estimated average of eleven days to six days. Equipment downtime rate declined from 31 percent to 18 percent. Total documented maintenance cost increased due to improved recording completeness rather than actual cost increase. The study provides a replicable implementation model for other Nigerian tertiary hospitals.
