Analysis of Document Tracking Systems in Oil and Gas Servicing Companies in Imo State

This research analyses document tracking systems and their operational effectiveness in oil and gas servicing companies in Imo State, within Nigeria's South East geopolitical zone. Document tracking is critical in the oil and gas sector, where regulatory compliance, project documentation, and contractual records must be managed with precision. Using a case study design, the study targets document controllers, administrative managers, and quality assurance officers in six oil and gas servicing firms in Owerri and its environs. Data are collected through structured questionnaires, system performance assessments, and semi-structured interviews. The Document Control Framework and the ISO 9001 Quality Management System standards provide the theoretical anchors, with literature from 2020 to 2024 on document management in the Nigerian energy sector supporting the analysis. Dimensions evaluated include tracking system type (manual versus digital), document version control, retrieval accuracy, and system user satisfaction. The study also examines staff training levels and the relationship between document tracking efficiency and project delivery timelines. Recommendations target company management, the Department of Petroleum Resources, and professional associations.
